A couple of years ago, automation always meant the same thing: an IT project, a budget, months of approvals. Today, an employee can explain a task to an AI tool in plain words — the same way they'd explain it to a colleague — and walk away not with a rough draft, but a finished file, dashboard, or app.
Automation No Longer Means an IT Project
In the past, only people who could code were able to turn an idea into something real. Now all it takes is understanding the task — and nobody understands a task better than the person who does it every day. They can explain it to an AI directly, no IT specialist and no waiting in the backlog.
The most valuable use cases for AI usually aren't the ones that speed up an existing process — they're the ones that change the approach entirely. A paper manual becomes a simulator. A spreadsheet becomes a dashboard. A written report becomes a podcast.
It's no longer about whether you have a developer. It's about whether your team knows what it can already build on its own. Here's what that looked like in practice.
Examples by Department
There's more you can automate than you'd think. Most people immediately think of reports, spreadsheets, and email drafts — and yes, those are common examples. But the list goes much further. Here's what teams are already doing, what it gets them, and how hard it is to set up:
But It's Worth Remembering the Limits
A prototype built during a training, or by an employee for internal use, isn't the same thing as a system built into your infrastructure and running under real load.
In practice, we often see companies come out ahead when they build a prototype by hand first and only then invest in a full system. It's easier to know what actually works before spending the budget.
Start With One Task
The first step doesn't need to be a plan for the whole department — often, one task is enough to see what's already possible.
Pick something your team does every week that takes longer than it should. Explain it to an AI tool the way you'd explain it to a new hire. See what comes back.
Most of the time, it'll surprise you — just like it surprises people at our trainings. One participant put it this way:
